Installing and Configuring DocuNECT v5.0

DocuNECT stores and manages content externally to the SQL server database. The database stores links to the content stored in a DocuNECT storage location. DocuNECT manages the folder structure and the naming of the actual filenames used in the storage location which is only accessible via the station providing an additional level of security.

Creating a Storage Location

Access the Storage option in the Administration menu and then press the New button.

Enter the name of the storage location and assign the location to a DocuNECT station. One of the tasks of a station is to provide a security layer on the storage location by managing the file fetch and store. Only the service account used on the station where the cabinet is assigned to requires access to the storage location allowing the location to be locked down.

Field Name Description
Name The name of the storage location.
Station The station that is called to server documents when a user views a document.
Root Path The root path of the storage location. Note, the folder structure below this root is managed by DocuNECT.
Structure See Selecting the Right Structure for more information.
Capcity The capacity that is assigned to the storage. This will be used by the Storage Monitor connector to notify administrators when the storage is near capacity.

Selecting the Right Structure

Documents are logically stored in Cabinets, which we will discuss in detail later. Essentially Cabinets provide a way to assign a data schema around documents, such as invoices, clinical or loan documents. You can have more than one cabinet per storage location. In fact it is only recommended to have more than one storage location of you want to separate the physical storage location to another server, or you plan to migrate the cabinet data in the future.

There can be a degradation in performance the files you have in one folder, so DocuNECT provides the following storage structures:

  • Single Folder - Only recommended for small implementation as all files are placed in the root folder of the storage location.
  • Multiple Folders (Group by year) - Stores files by the year they were captured into DocuNECT.
  • Multiple Folders (Group By year and month) - Stores files by the month they were captured into DocuNECT.
  • Multiple Folders (Group By year, month and day) - Stores files by the day they were captured into DocuNECT.
  • Multiple Folders (100 files per folder) - Stores a 100 files within a folder.
  • Multiple Folders (1000 files per folder) - Stores a 1,000 files within a folder.
  • Multiple Folders (10,000 files per folder) - (Default) Stores a 10,000 files within a folder.

Note, unless you have specific need to store files by the date they were capture, use the default storage structure.

Storage Location Monitoring

In the DocuNECT Capture Edition the storage location could be considered temporary as the documents will be distributed to a third party document management system. However, if you are installing the DocuNECT DM Edition then it is recommended to enable the storage monitoring feature. The Capacity field allows you to select the size of the storage device to assist with the storage monitoring.

If you have installed the Storage Monitor system connector then you can set the parameters on this page to receive email notifications when the free space goes below a specified threshold.
